San Francisco State and Cal State LA get budgeting under control paid Oracle
Many universities still manage budgets using spreadsheets or some other antiquated systems, and they’re in a lot of pain. Instead of having the most timely and accurate information, people with budget responsibilities ranging from department heads and deans to executives and finance teams get by on information that might be out of date, incomplete, or missing the big picture.
“It’s eye-opening because you’re not just creating a spreadsheet for a report, you’re actually analyzing what’s on the spreadsheet,” says Bernice Yeh, senior budget officer at San Francisco State. “We’re also in a position to fix business processes because we’re able to see the data differently.” “If we don’t understand the bulk of our budget, then it’s not clear whether we’re using the dollars allocated effectively,” Yeh says. “You could hire somebody for a position that isn’t budgeted. And, the colleges don’t understand how many folks they need versus what they want.”The longer-term goal is to take advantage of Oracle budget forecasting capabilities, so there’s a single system for budgeting, position management, and forecasting that allows all users to view the same information.
The next step the Cal State LA team plans is to enable narrative reporting so the budget office can develop reports collaboratively with departments while maintaining control over the process.
